At Rayleigh & Ramsay, we handle your data with care. This privacy policy explains which personal data we use when you visit our website, place an order, create an account, make a reservation or visit one of our wine bars.

2. What data do we use and why?

Website visits
When you visit rr.wine, we process technical data such as your IP address, browser type, device information and details about how you use the website. We use this data to operate, secure and improve the website. Depending on the processing involved, the legal basis is our legitimate interest or your consent.

Online shop orders
When you place an order, we process information such as your name, contact details, billing and delivery address, order contents, and payment and delivery status. We need this information to fulfil your order, handle any questions and maintain our records. The legal basis is the performance of a contract or compliance with a legal obligation. Payments are processed by a payment provider. We do not normally receive your full payment card details.

Accounts and wine reviews
If you have an account, we process your login details, order history and the wines you save or review. This allows you to use your account and find your favourite wines. If a review is displayed publicly on the website, we will make this clear when you submit it.

Reservations, tastings and group enquiries
If you make a reservation or contact us about an event, we may process information such as your name, contact details, date, location, group size, messages and any deposit paid. We need this information to arrange your enquiry and visit. The legal basis is the performance of a contract or our legitimate interest.

If you tell us about an allergy or other health information, we use it only to take your request into account during your visit. Only staff who need this information have access to it. When making a reservation, please avoid sharing more medical information than necessary.

Wine cards and gift cards
For a personalised wine card, gift card or voucher, we may process the card or voucher number, balance, transactions and your contact details. This allows us to manage the balance and answer questions about the card. We do not routinely link anonymous wine cards to your name.

Contact and complaints
If you call, email or message us, we use your contact details and the contents of your message to respond. The legal basis is our legitimate interest in providing good customer service or, if your message concerns an order or reservation, the performance of a contract.

Newsletter and offers
We send you a newsletter if you have subscribed to it. Within the limits of the law, we may also send existing customers messages about similar products or services of our own, provided they were given the opportunity to opt out when we collected their email address. Every message explains how to unsubscribe. Making a reservation does not automatically sign you up for marketing messages.

Age verification for alcohol
Because we sell alcohol, we may ask to see your proof of identity to verify your age. We do not routinely make or keep a copy of it.

Security and any camera footage
If security cameras are installed at a location, we will inform you on site. We use the footage only for security and to handle incidents. The legal basis is our legitimate interest in protecting the safety of guests, staff and property.

3. Who do we share your data with?

We do not sell your personal data. We may share data with service providers who help us deliver our services, such as our website and hosting provider, reservation system, payment provider, delivery services, point-of-sale systems, accountant and email service. They receive only the data needed to perform their tasks. Where required, we make agreements to protect that data.

We may sometimes have to share data because the law requires it or because it is necessary in connection with a dispute or security incident. External reservation and payment services may also have their own privacy policies.

4. Processing outside Europe

Some service providers may process data outside the European Economic Area. If this happens, we ensure there is a valid legal basis for the transfer and that appropriate safeguards are in place in accordance with the GDPR. You can ask us which safeguards apply.

5. How long do we keep your data?

We do not keep data for longer than necessary. We generally keep data that forms part of our basic tax records for seven years.

For other data, the following applies:

  • We keep reservation details and correspondence for as long as necessary to handle your reservation, provide customer service or deal with any dispute.
  • We delete information about allergies or other health-related requests as soon as possible after your visit, unless you provide it again for a future reservation.
  • We keep account details for as long as your account is active. Data we are legally required to retain, such as invoice details, may remain in our records after your account has been deleted.
  • We keep newsletter details until you unsubscribe. We may retain a minimal record of your unsubscribe request to ensure you do not receive further messages.
  • We do not keep any camera footage for longer than necessary for security purposes or to handle an incident.

6. Cookies

Our website uses cookies and similar technologies to make features such as your shopping cart, language selection and login session work. We may also use analytics to improve the website.

Email your request to [email protected]. To protect your data, we may ask you to verify your identity in an appropriate way. Please do not send us a copy of your identity document unless we ask you to.

If you are unable to resolve the matter with us, you can submit a complaint to the Dutch Data Protection Authority at autoriteitpersoonsgegevens.nl.

8. Security and changes

We take appropriate measures to protect your data, such as limiting staff access and using secure connections.
